Sanctum Business Consulting Pvt. Ltd. – Terms & Conditions of Service

These terms and conditions constitute the full and exclusive agreement between Sanctum Business Consulting Pvt. Ltd. (hereinafter referred to as “Sanctum”) and the Client (the customer whose name appears on the invoice). By accepting this invoice, the Client agrees to the terms and conditions outlined herein, which govern the services ("Service") related to visa documentation and facilitation for the category and country specified.

This agreement supersedes any prior communications or understandings and may only be modified through a written agreement signed by both Sanctum and the Client.

1. Service Fee and Payment Terms

  • Sanctum charges a flat, non-refundable and non-transferable fee for its services.

  • The service fee exclusively covers documentation assistance, application preparation, and guidance—not visa issuance.

  • Additional costs such as visa fees, medicals, courier, certification, third-party vendor charges, and government taxes are to be paid directly by the Client to the relevant authorities and are not included in Sanctum’s fee.

  • Any such external charges will be clearly indicated under the “Sanctum Charges” section, excluding visa and facilitation fees which are tax-exempt.

2. Scope of Responsibility

  • Sanctum is not liable for delays, losses, or service interruptions caused by events beyond its control, including but not limited to:

    • Acts of God

    • Weather-related disruptions

    • Strikes or civil disturbances

    • Embassy or consular delays

    • Actions of third parties or government officials

3. Initiation and Processing

  • Sanctum will begin the documentation and processing only after receiving full payment unless installment terms are stated in the invoice.

  • In case of processing delays, the Client will be notified via email or phone.

  • Processing time is based on Sanctum’s experience with embassies and consulates but is not guaranteed.

4. Cancellation Policy

  • Clients may cancel the service at any time, but remain fully liable for the complete invoice amount.

  • Sanctum's service fee is non-refundable, even if:

    • The client decides not to proceed with the visa.

    • The application is withdrawn.

    • The visa is rejected.

  • If the Client adds new applicants or changes travel plans mid-process, additional fees will apply.

5. Invoice Validity

  • All Sanctum invoices (excluding immigration) are valid for 45 days from the date of issue.

  • Failure to initiate the process within this time frame may require the Client to repay the service fee and cover any fee differences.

6. Passport Collection

  • Clients must collect passports within 4 days of notification.

  • A locker fee of ₹20 per day per passport will be charged beyond this period.

7. Courier & Document Handling

  • Sanctum may use courier services for original passport/document transfer.

  • While due care is taken, Sanctum is not responsible for loss or damage due to:

    • Natural disasters

    • Mishandling during transit

    • Circumstances beyond its control

  • Sanctum’s maximum liability is limited to:

    • ₹2,500 OR

    • Actual cost of passport/document replacement,

    • Whichever is lower.

8. Visa Processing Time

  • Visa timelines are estimated based on standard embassy/consulate procedures.

  • These are not guaranteed and subject to embassy-specific variables and delays.

9. Documentation & Application Acceptance

  • Visa acceptance or rejection is subject to embassy discretion.

  • Sanctum cannot guarantee visa issuance or appointment confirmation.

  • Sanctum reserves the right to decline processing if documents are:

    • Incomplete

    • Inaccurate

    • Submitted too close to the travel date

    • Deemed ineligible based on complexity or purpose of travel

10. Expedited Appointments

  • For clients requesting fast-track or early appointments:

    • Sanctum will make efforts to secure a slot but cannot guarantee results.

    • No refund will be provided if an appointment slot is not found.

    • Clients are advised not to book early slots independently if Sanctum is engaged for this purpose, to avoid duplication.

11. Disclaimer of Guarantees

  • Sanctum makes no guarantee on:

    • Visa outcome

    • Appointment availability

    • Client’s satisfaction with the service

    • Uninterrupted, error-free service availability

  • Visa approval lies solely with consular officials; Sanctum has no influence over their decisions.

12. Limitation of Liability

  • Sanctum will not be liable for:

    • Travel disruptions

    • Financial loss

    • Consequential damages

    • Loss of income or profits

  • The Client assumes full responsibility for risks associated with visa application and travel plans.

13. General Conditions

  • The service must not be used for:

    • Fraudulent purposes

    • Illegal or anti-national activities

  • Sanctum will not assist in falsifying documents.

  • Passports may be routed through authorized third-party vendors for processing.

  • For passport collection, Clients must produce:

    • Original invoice

    • Valid photo ID

By proceeding with the invoice, the Client confirms that they have read, understood, and agreed to all the terms and conditions stated above.
